Second Circular Nepal Geological Society is organizing the 27th Himalaya-Karakoram-Tibet (HKT) workshop in Kathmandu, Nepal, during 28th-30th November, 2012. The HKT workshops have been an instrumental forum in the advancement of geologic understanding of this part of the earth. Geoscientists from across the world have contributed and have benefited from each other during such workshops in the past. The forthcoming event is going to be one more building block in furthering the geosciences and understanding the geologic phenomena in this part of the globe. After the 9th HKT workshop in 1994, this is the first time that the HKT Workshop has returned to Nepal – a popular destination for all natural scientists as well as tourists from all over the world alike. The workshop is a forum of all geoscientists for a collegial discussion and sharing of their new research findings from the HKT region. The Nepal Geological Society has already received an overwhelming response from geoscientists from around the world, and hence this workshop is certain to be another milestone in the history of HKT Workshop. This Second Circular has been issued in order to provide important necessary information for final registration in the workshop. All the Pre-Registered HKT geoscientists are kindly requested to submit their Final Registration Form with their full details and the applicable payments within the stated deadlines. Your cooperation in this regard will substantially help the Organizers in organizing this important event successfully. Please remember that Final Registration is accepted ONLY through online. Workshop Venue:Geological The 27th HKT workshop will be held at The Everest Hotel, a Five Star Hotel, located at Naya Baneshwor, Kathmandu Nepal (http://www.theeveresthotel.com). It is located close to the Tribhuvan International Airport and is convenient to reach at most of the places of interest in the Kathmandu Valley.
Workshop Format:Following the format of the past HKT Workshops, thematic oral and poster sessions have been planned to occur within a single venue. Parallel sessions have been avoided in order not to distract the participants. Important dates:November 27, 2012, Tuesday: Inaugural Pre-Conference Excursion (Ex- 5) November 28, 2012, Wednesday: Inaugural session, followed by technical sessions November 29, 2012, Thursday: Continuation of the Workshop, conference dinner in the evening November 30, 2012, Friday: Continuation of the technical session, closing session at the end December 1-6, 2012, Saturday to Thursday: Post-conference field trips (Ex-1, 3, and 4 field excursion, duration vary)

Abstracts of only those authors or presenters who have already paid their registration fee within the deadline will be published in the abstract volume of the Journal of Nepal Geological Society, which will be distributed to all the registered participants during the workshop Final registration and feeAll the Pre-Registered participants are required to submit their Final Registration Form online along with the proof of payment of applicable fee and costs within the above stated deadlines. Field Excursion Seats will be booked on first-come first-served basis. Seats are limited. Seat bookings in the excursion by participants shall be considered “confirmed” only when the Organizers have received the specified amount within the deadline and have acknowledged the same to the participants. Participants are requested to cooperate in this matter so that the Organizers could organize and conduct the excursions more systematically. Kindly submit your Final Registration Form along with the necessary information about the excursion number of your choice and the details about the fund transfer that you have already made. Payment MethodPayment for Registration Fee and Field Excursion costs should be made via a direct bank (wire) transfer ONLY. All the above stated fee and cost amounts are the net amounts receivable by the Nepal Geological Society. Refund PolicyRemember Refund policy for a situation when a participant needs to cancel his/her participation for some unavoidable circumstances is as below: Cancellation before 31st October: Full refund of the applicable Fee amount (after deducting the applicable bank commission and wire transfer costs). Cancellation after 31 October, 2012 but before 15 November, 2012: Only 50% refund of the applicable Fee amount (after deducting the applicable bank commission and wire transfer costs) After 15 November, 2012: There will be No refund Cancellation of filed excursion registration: Field excursions will be conducted only if a required minimum number of participants have registered for a particular excursion. If the registered participants in any excursion are fewer than the required minimum number, then the particular excursion will be cancelled. Participants will get Full refund in case the Organizers have to cancel an excursion for such reasons. However, there will be No refund if a participant cancels his/her field excursion registration after 15 November 2012. PublicationsAbstracts of all the accepted papers will be published in the Journal of Nepal Geological Society, which will be distributed to all the registered participants during the workshop. The full text of the papers presented in the workshop will be published after peer review in the Journal of Nepal Geological Society as a special issue. Accommodation Booking arrangement
Nepal Geological Society has appointed Manadala Trekking Agency as its official agent for handling hotel accommodation reservations and local transportation for the 27th HKT workshop participants. Arrangement has been made with this Agency in order to cater in a more professional manner to the varied needs of the participants in booking their hotel rooms and all travel related services in Nepal, including the Airport pick-ups and drop-offs. Special room rates for the 27th HKT participants have been negotiated through this agency at selected hotels in Kathmandu. In terms of their tariff rates, there is a wide range available among these selected hotels. Participants are advised to communicate directly with this agency at the earliest and get confirmation of their room bookings. To avail with the special room rates, participants must mention in their correspondences that he/she is a HKT Workshop participant. November falls during a busy tourist season in, and therefore, if there is a delay in booking, rooms in conveniently located hotels may be hard to get confirmed for the workshop period. ClimateClimate in Kathmandu during November is pleasant but cool. Mornings and evenings will be cool, but the day time will be pleasantly warm. It is advised to bring warm woolen clothes with you. Passport and Visa RequirementsAll foreigners must have valid passport and visa for entering into Nepal. For visitors from most countries, visa on arrival is granted at the Tribhuvan International Airport in Kathmandu. You are advised to contact the Nepalese Embassy or Consulate office in your respective countries to find out the exact status for your country. Communication and mobile phone useAll communicating back home with your family and friends on mobile (cell) phone from Nepal is inexpensive. Two companies, Nepal Telecom and Ncell, provide the service in Nepal. Temporary Pre-Paid type SIM card from either of these two companies can be purchased at the Tribhuvan International Airport. The purchase counter is located on the passage way when you come out after collecting your luggage and before you exit the terminal building. You need a copy of your passport and passport size photograph to get the SIM card. For detail, please visit home page of Nepal Telecom or Ncell. These company provide internet service in mobile phone or through phone to computer, if your phone set has standard modem facility.
